Tenancy Administrator (Part-Time)

JOB PURPOSE:
To support the Product Manager in the managing of tenancy agreements for all relevant SACO locations. Key to the role will be developing an organised process in sorting tenancy agreements, notifying all relevant internal departments, liaising with utility providers and ensuring an efficient process is in place for notifying all relevant parties when tenancy agreements are terminated. This will cover all types of product, including feeding into new SACO developments, leased properties and corporate housing. Support will also be required in the loading and managing of Network Partner content, including confirmations.

 
KEY RESPONSIBILITIES
KEY PERFORMANCE INDICATORS
Tenancy Administration:
  • Review all tenancy agreements to ensure content is accurate and within agreed terms.
  • Co-ordinate the tenancy calendar ensuring all tenancy agreements are added on to the system with break clauses and termination dates clearly highlighted and communicated to the relevant departments when approaching.
  • Collate inventory and schedule of conditions and associated paperwork. Ensure hand backs are co-ordinated effectively and costs for damage minimised.
  • Establish an organised filing system to ensure all tenancy agreements and accompanying paperwork is securely stored and easily accessible.
  • Liaise with internal accounts to set up rental payments and ongoing standing orders. Make regular checks to ensure these are processed in line with the tenancy terms and support with queries over rent.
  • Ensure all relevant EPC and NICEIC certificates are obtained.
  • Advise Product Manager of pending renewals and breaks and notify agents of termination where agreed.
  • Responsible for the setting up and termination of all utilities.
  • Deal with any utility queries.

System Database Management:
  • Liaise with the Product Manager and the Central Operations Manager in adding and removal of all new apartments to SACO’s database.
  • Ensure accurate and relevant information is easily accessible to internal and external customers.

  • Maintain good relationships with letting agents, landlords and utility providers.
  • General administration duties on behalf of SACO’s Operations department to include raising purchase orders and general telephone administration.

Self development and management:
 
  • Take responsibility for own development to ensure that knowledge of apartments on the network is excellent.
  • Keep up to date on industry news – Business Travel, serviced apartment industries, residential property developments.

EXPERIENCE
 
  • The successful individual will either come from a property or customer liaison background and have exceptional organisational skills as efficiency is vital. Experience of tenancy management is desirable.

 
LOCATION
Part time hours (24 hours per week)- either condensed to 3 day period or over a 5 day week.
